How to see all your forms in one place in Formaloo

Learn how to see all your forms in one place in Formalo, without opening individual projects. This guide covers how to switch to the Forms view in a folder, manage your forms inline, and access each form's responses table directly from your dashboard.

What you'll build

By the end of this guide, you'll be able to see every form in a folder in one place, without opening individual projects. You'll have a full list of your forms as tiles, manage them inline with a right-click, and access their responses directly from the same view.

When to use this

  • You have multiple projects in a folder and need to find a specific form fast

  • You want to review form responses without opening the form editor

  • You need to rename, duplicate, or move a form without leaving the folder view

  • You want to share a direct link to a form's responses table with a teammate

  • You're auditing all forms in a folder and need them in one place

Step-by-step

  1. Open any folder or tab on homepage: Go to your dashboard and click the folder you want to work in. The folder opens to the Projects view by default. If you don't have a folder set up yet, see how to create a folder in your workspace. To share a folder with your team first, see how to share a folder.

  2. Switch to the Forms view: At the top of the content area, click the Forms tab in the Projects / Forms toggle. The project tiles are replaced with form tiles โ€” one per form inside this folder, across all its projects.

  3. Read your form tiles: Each tile shows the form's title, logo, and stats (total views and total form submissions), so you get a quick read on activity without opening anything.

  4. Manage a form from its tile: Right-click any tile to open the context menu. You can:

    • Open: Launches the live form in a new tab

    • Edit: Opens the form editor
โ€‹Rename: Renames inline without opening the editor

    • Duplicate: Copies the form only, no new project is created

    • Move: Moves the form to another folder or workspace.

    • Delete: Deletes the form.

All actions affect the form only, not the project it belongs to.

๐Ÿ’ก Note: The Forms tab is only visible to folder Admins. Members see the standard Projects view with no toggle. To understand access levels, see how to manage your team's access to folders and forms. If a teammate needs Admin access, see how to add team members to the workspace.

Viewing form responses

Clicking on a form tile opens the form's responses table directly inside your dashboard. From there you have a few options:

  • Edit a row: click any record to open the Edit row sidebar and update it

  • Add a new record: add a form submission manually from the table

  • Sort, filter, and manage columns: adjust the view to find what you need; you can also import or export data from here

๐Ÿ“’You can also collect data directly into your form records via email using CC Formaloo, and set up email notifications to get alerted when new submissions come in.

Share the table

Every form's responses table has its own URL. Copy it from your browser's address bar and send it directly to a teammate, they'll land exactly on that form's responses view. You can also check the Shared with me tab to see what's been shared with you across your dashboard.

Share a specific record

Opening a row in the Edit sidebar generates its own unique URL. Copy it to link a teammate directly to a single response, useful when you need to flag a specific submission for review or follow-up.

Jump to responses from search

If you search for a form by name, the results page shows the project that contains it. At the bottom-right of the results page you'll also see a View responses button โ€” click it to go straight to that form's responses table.

Ready-to-use templates

Not sure where to start? Here are three templates that work well with the Forms view. Each one is ready to use and easy to adapt.

Service cost estimator for agencies

A good fit if you run an agency and want clients to estimate project costs before booking a call. Use the Forms view to track all incoming estimates across your folder and review them from one place.

Subscription payment form

Useful for teams that collect recurring payments or sign-ups. Once you have multiple payment forms across projects, the Forms view lets you monitor submission volumes and manage each form without jumping between projects.

Vendor application form & dashboard

Built for teams that review vendor or supplier applications. Use the Forms view to keep all application forms in one folder, then open their responses table to sort and filter applicants by any field.
