In this article, you’ll learn how to set up email notifications for form submissions.
By enabling these features, you ensure that submitters receive confirmation emails, and you and your team are instantly notified of new form submissions.
Email notifications are crucial for keeping both users and admins informed in real time
1- Send submitted data to the submitter
To send a confirmation email containing the submitted data to the person who filled out the form, follow these steps:
Include an email field in the form
Ensure your form has an email field, as this is where the submission data will be sent. If your form has multiple email fields, the notification will be sent to the email address specified in the first email field.
Enable 'Send email to respondents'
In the Notify tab of your Formaloo editor, toggle the option for 'Send submitted data to the submitter.' This allows respondents to receive a copy of their form submission, which can be useful for confirmation or record-keeping purposes.
📝 Additional insights:
If your form has multiple email fields, the notification will be sent to the email address in the first field by default.
2- Get notified when a new response is submitted
If you want to stay updated whenever someone submits your form, you can set up email notifications for yourself or your team members:
Enable 'Receive email notifications'
In the Notify tab of the editor, toggle on the 'Receive email notifications' option. This ensures that notifications are triggered with every form submission.
Enter your email address
In the 'Send email to' field, enter the email address where you want to receive the notifications. You’ll receive an email for each form response, making it easy to monitor incoming submissions.
Additionally, you can include up to five forwarding email addresses in the "Forward submit email to' box to ensure your team members stay informed.
In the 'Forward submit email to' box, add up to 5 email addresses.
Pro Tip: When entering multiple email addresses, add a space between each email to forward notifications to multiple recipients.
3- Additional features
Generate PDFs of form submissions
If you need a PDF version of each submission for record-keeping or formal documentation, Formaloo allows you to generate these automatically.
Enable 'Generate PDFs of submissions':
In the Notify tab, toggle the option to generate PDFs of submissions. This feature is great for creating downloadable or printable copies of submission data.
Pro Tip:
You can attach these PDF files to the email notifications by adding the variable ID of pdf_link to your email template, ensuring submitters or admins receive a copy directly via email.
Customize email templates
To make your notifications more personalized and professional, you can customize the email templates used for notifications.
