How to email a signed form or contract as a PDF

Learn how to automatically email a PDF copy of the signed form to respondents or your team.

If you have a contract form, an NDA form, or any other signature form, you can not only download or print each signed copy, but also automatically email it as a PDF attachment to respondents or your team.

Formaloo lets you attach a generated PDF copy of each submission to automatic email notifications – whether sent to you, your team, or the respondent.


Option 1: Set up team and respondent email notifications on each submission

Open your form in the Form Editor, go to the Notify tab. Here, you can configure two main types of emails:

  • Receive email notifications → sends alerts to you or your team after each submission,

  • Send email to respondents → sends confirmation emails to users after they submit the form:

  • As you enable any of those, you’ll need to choose an email template to be used:

If you’re using the Default email template, simply enable the toggle Attach generated PDF, then select a PDF template (default or custom) or create a new one on the go:


This ensures every submission automatically includes the selected PDF file when the email is sent.

If you’re using a Custom email template, you'll need to tweak the PDF attachment settings directly in that email template.

  • Open your custom email template via Profile → Apps & Integrations → Email Templates,

  • In the Template settings panel on the right, scroll to the bottom and enable Attach PDF. Then select which PDF template you’d like to include (default or custom) or create a new one on the go:

This lets you personalize your custom emails with tailored and branded PDFs.

Option 2: Use conditional logic for advanced email workflows

You can also set up conditional email notifications so that different emails and PDFs are sent depending on user input.

This can be configured under the Advanced Logic tab by defining custom rules that specify which email and PDF templates to use based on conditions.
