When someone fills out your form, you often need more than just raw data in a table – you might need a branded proposal to share with a client, an invoice for accounting, a certificate for a student, or even a job offer one-pager for a candidate.
PDF templates let you design these documents once and then automatically fill them with form data or calculated values. This way, every submission produces a professional, branded file without manual copy-pasting.
When and why to use PDF templates
PDF templates are useful whenever you need to deliver a document based on form input. Examples include:
Agencies: Turn a project request into a detailed proposal, invoice, or contract.
Education: Generate a certificate of completion when a student passes a quiz.
HR and recruitment: Automatically generate job offer PDFs for successful candidates, or create training completion certificates when employees finish a course.

How to create a PDF template
Go to the App Store
In your dashboard, go to your Profile → Apps & Integrations, then choose PDF templates and click + Add new template.Add your content
Write and format your text, and insert extra elements (tables, page breaks, etc) if needed. You can also upload images (e.g., your logo) to brand the document and add links to resources, portfolios, or references.Pipe in fields' or variables' values
Use answer piping to pull in data from your form. Ensure that you assign IDs to any fields or variables you intend to use. Then, insert the IDs into your PDF template after an@sign (e.g.,@client_name,@service_selected,@total_price). This way, the PDF can dynamically display the respondent’s input or calculated values.
☝️ Field and variable IDs are case-sensitive
Make sure to use the identical IDs in the template as in the fields' or variables' settings. It's better to keep them non-bold and non-italic as well, to ensure the excessive formatting doesn't affect the value piping.
Once your PDF template is saved, you can edit or duplicate the template anytime. Duplicating is useful if you want to adapt a template for another form with different field or variable IDs.
