How to print your submissions or save them as PDFs

Learn how to save your submissions as PDF files or print them, using either the default printable layout or your own customized PDF templates.

Sometimes you may need to save or print a response from your form – for example:

  • To store signed contracts or agreements,

  • To share a client’s order or request internally,

  • Or to archive investigation reports, feedback, applications, etc.

Formaloo lets you easily generate and download printable PDF copies of your responses – either using the default printable template or your own custom PDF templates. You can also print app pages or charts when needed.


Print or save individual responses as PDFs

Step 1 – In your project, open the submission you want to save/print

Open your project containing the form, and navigate to the page displaying your submissions (featuring a table, a kanban board, or a gallery).

  1. Click on any row or card to expand the submission details,

  2. Scroll to the very bottom of the right-hand expanded view,

  3. Under Generated PDFs, you’ll find a PDF copy of the submission that’s automatically generated using the default printable template,

  4. Click on the PDF name to open, download, or print it right away:


Step 2 – Generate a PDF using a custom PDF tempalte

At the bottom of the expanded submission view, you’ll find the option to 'Generate PDF using' followed by a dropdown menu to pick a PDF template.


From here, you can:

  • Regenerate a PDF using the default template (for example, if the submission was updated),

  • Choose any of your custom templates to generate a tailored, branded PDF,

  • Click + Add new template to create one right away.

Once you’ve selected a template, click Generate. The PDF will be processed and appear on the list of Generated PDFs:

🎨 You can fully customize how your PDFs look – including your logo, layout, and which of the submission details are included in it.

Use custom templates to build branded contracts, proposals, custom reports, or personalized summaries that only display the submission data you need.


Step 3 – Download or print the generated PDF

When the PDF is ready, click on its name to open it in a new tab. From there, you can:

  • Download it to your device, or

  • Print it right away:

Every generated PDF stays saved within the submission row/card for future access.

💡 You can generate multiple PDFs for the same submission – for example, one for your internal records and another for the client.


Just select another template and click Generate again:


🤖 Automate PDF generation for all submissions

Right inside your form settings (in the Form Editor), you can enable the option Generate a PDF for all responses.

Here, pick any of your custom templates to ensure that every new submission automatically generates a PDF copy using that template – so you don’t need to generate them manually each time:

For example, in a client service request form, you can:

  • Generate a PDF using your "Branding proposal" PDF template whenever Branding service is selected, or

  • Generate a PDF using your "Web design proposal" PDF template whenever Web design services are picked.

This way, each submission produces the right customized document automatically.


Open the generated PDFs right from your table/kanban board/gallery

  1. In the Edit mode, go to Options above your Responses table, Kanban board, or Gallery,

  2. In the Columns settings, make sure View all PDFs column is visible,

  3. In each row or card, click View all PDFs to open, download, or print any previously generated PDF files, or generate new ones:


Save charts or app pages as PDF files

To save a chart view or an app page as a PDF:

  1. Open the page you want to save or print,

  2. Press Ctrl + P (Windows) or Command + P (Mac),

  3. In the print dialog, you can print the page, or

  4. Set the Destination to Save as PDF instead of a printer, and click Save:


Bottom line

Using these options, you can generate, save, and print a default or custom PDF for any of your responses – either automatically as soon as they’re received or manually at any point, even after a response has been updated.
