Set up email notifications to stay informed about form submissions and keep your users in the loop.
With Formaloo’s Notify tab, you can easily send confirmation emails to form respondents, receive alerts for new submissions, and customize email templates.
How to set up email notifications
Go to your form editor and open the Notify tab on the top right panel. Here, you’ll see two main sections:
Receive email notifications (for admins and team)
Send email to respondents (for form submitters)
📥 Receive email notifications for new submissions
Keep yourself or your team notified whenever a new submission comes in.
✅ Step-by-step:
Open the Receive email notifications section, and toggle on Receive email notifications,
Add your email address in the Recipient email field,
Optionally, add more addresses in the Forward email to field (separate emails by space),
Select of create an Email template to be used for notifications,
Optionally, toggle on Attach generated PDF, and pick the PDF template to be used.
This setup ensures you and your team receive real-time updates and easy access to submitted data.
📤 Send email notifications to respondents
Automatically send a copy of the submission to the person filling out the form.
ℹ️️ To send email notifications to respondents, you'll need to have at least one Email field on your form where a respondent can specify their email address.
If your form has multiple email fields, the notification will only be sent to the first one.
✅ Step-by-step:
Open the Send email to respondents section, and toggle on Send email to respondents,
Select or create an Email template from the dropdown,
Optionally, toggle on Attach generated PDF, and pick the PDF template to be used – to include a downloadable submission copy.
Customize email templates
Formaloo provides a default email template, but you can design a custom one that includes your company logo, personalized messages, or additional instructions for submitters.
You can create personalized templates for both submitters and admins:
Add your branding, such as a logo or custom footer,
Include dynamic field data using answer piping (e.g.,
@name
),Use different templates for the team and respondent emails.

Generate PDFs of form submissions (Optional)
If you need a PDF version of each submission for record-keeping or formal documentation, Formaloo allows you to generate these automatically.
In the Notify tab, under both Receive email notifications or Send email to respondents, toggle the option to Attach generated PDF:
This feature is great for creating downloadable or printable copies of submission data.

Set up conditional email notifications
Apart from general email notifications about new submissions or confirmation emails to respondents, you can also set up conditional email notifications.
This way, you can tailor the experience for each user. For example, if someone applies for a specific position in your Job application form, you can send them a personalized confirmation email that references the exact role they applied for.
