How to send email notifications that include only selected products or answered fields

Learn how to include submission copies in email notifications that show only the fields users filled in, without blanks for unanswered fields.

If you want to receive a copy of each submission by email but only include the fields that were actually answered – instead of seeing the full list of fields with empty values ("-") – you can switch from the default email template to a custom one that uses the @answered system variable.

This ensures your email only displays the fields your users filled in:

Step 1: Create a new custom email template

In your Formaloo dashboard, go to Profile → Apps & integrations → Custom emails. Create a new email template by clicking +Add New Template.

Step 2: Add the @answered variable

In the email body, insert @answered in addition to any custom text you need. In the actual email, this will generate a clean table with only the fields that contain answers or selections, excluding everything the respondent skipped or left blank:

Step 3: Save your template

Configure the rest of the settings as needed in the right-hand panel, and hit Save template.

Step 4: Select the template to be used for your email notifications

Open your form → Notify tab → Receive email notifications or Respondent email notifications, and select your newly created email template from the dropdown:

With this setup, your email notifications will only show the selected products or answered fields, ensuring a cleaner look – perfect for order forms, product selectors, or any form with many optional fields.
