Formloo Al Analyze: the report maker that turns your data into charts and insights

Meet the AI Analyze, Formaloo's report maker that turns form submissions into a full AI-generated report with charts and insights, shareable as a public portal.

What you'll build

By the end of this guide, you'll have your AI Analyze, Formaloo's AI Analyze block, generating full reports on a project page: an executive summary, key findings, and clear static charts, all from a single prompt. You'll be able to regenerate the report whenever you want the latest submissions reflected, and share the finished report by publishing your project as a public portal.

When to use this

  • You've collected dozens (or thousands) of survey, feedback, or intake submissions and don't have time to read through them one by one.

  • You want to know the biggest pain points, trends, or recurring themes in your data without building charts by hand.

  • You need to present findings to a manager, client, or team, and want something more polished than a raw submissions table.

  • You review the same form's submissions on a recurring basis and want a report you can refresh with one click instead of rebuilding it in a spreadsheet every time.

  • You're an agency, researcher, or ops team that needs a shareable, presentable report without a separate analytics tool.

Adding your AI Analyze and generating your first report

Your AI Analyst lives on any project page as a block. Once it's connected to a form, you describe what you want to understand in a prompt, and it analyzes the form's submissions and builds a full report with insights and charts. Here's how to set it up.

1. Open your project in edit mode: From your Formaloo homepage, open the project whose page you want to add the report to, and make sure you're in edit mode.

2. Insert your AI Analyze: On the page, click the + Insert icon (or type "/") and search for AI Analyze, which is your AI Analyst. Add the block to the page.

Note: Only workspace members with editing permission on the project can add or configure the block, select the data source, or generate and regenerate a report. Anyone the page is shared or published with can only view the finished report.

3. Choose your data source: In the block's settings, select the form whose submissions you want to analyze. If the form doesn't have any submissions yet, Formaloo shows a message explaining there's no data to analyze, and keeps the Generate button disabled until at least one submission comes in.

4. Write your prompt: Describe what you want the report to cover in the prompt box, for example "Identify the biggest pain points and explain their impact." The box supports several lines of text and keeps whatever you type even after you generate a report, so you can tweak it later. If you don't have a specific question yet, click one of the example prompts underneath the box, then edit it to fit your data, or leave the box empty. AI Analyze can still build a useful general report without a detailed prompt.

5. Click Generate: Formaloo pulls in the form's latest submissions, plans the analysis, and builds the report. While it works, you'll see short status messages such as "Planning the analysis…" and "Generating charts and insights…" and the button temporarily reads Generating… to prevent duplicate requests.

Once the first report finishes, the button changes to Regenerate, and the prompt stays visible and editable in the settings panel for next time.

What's in your report

Each report is built as a complete, self-contained document rather than a plain text summary, so it can hold a mix of writing, tables, and charts together:

  • A concise executive summary of the form's submissions, followed by the most important findings and comparisons.

  • Clear, static charts, laid out one per row and sized to the full width of the block. Bar charts, line charts, pie charts, and the like, with readable labels and legends that reveal the numbers, trends, and patterns behind your submissions at a glance.

  • Explanations of why each finding matters, plus any notable anomalies, recurring themes, or pain points AI Analyze picked up on, including from open-text answers.

  • A generation timestamp under the report, for example "Generated on August 9, 2026 at 4:12 PM," so you always know how current the data is.

The report renders inside its own isolated container, so its styling and scripts can't affect the rest of your project page. It also always displays in full. There's no fixed height or character limit that cuts a long report short, and the page scrolls naturally to show everything.

Regenerating and keeping your data current

New submissions don't automatically update a report that's already been generated. Formaloo only pulls fresh data when you ask it to.

  • To refresh a report with the latest submissions, click Regenerate. This works even if you haven't changed the prompt, and it always analyzes the form's current submissions, not the ones from when you first generated the report.

  • While a new version is generating, the previous report stays visible, and if the regeneration fails for any reason, the previous successful report is never deleted. You'll see a message asking you to try again or adjust your prompt, and you can retry right away.

  • If you change the data source, Formaloo clears the report that was showing, keeps your prompt text unless you clear it yourself, and switches the button back to Generate. You'll need to generate a new report for the new form before anything displays again.

Sharing your report

Once a report looks the way you want, share it by publishing your project publicly:

1. Click Edit mode: In the top right corner of your project, click Edit mode.

2. Click Share: Open the Share menu.

3. Publish your project: Go to the Publish tab and publish the project.

Once it's published, you'll have the public view of the project. Open it, copy the link, go to the page that has your AI Analyst on it, and share that link.

💡 Want to give clients, applicants, or teammates their own space to submit and track requests? This is the foundational guide to building a portal and controlling who can see it. Link it any time a workflow needs a client- or team-facing surface, not just a form.

Note: There's a daily limit of 20 reports per form.

What you now have

You now have a project page that turns raw form submissions into a polished, AI-written report on demand, complete with an executive summary and clear static charts, without exporting anything to a spreadsheet first. You can revisit your AI Analyst anytime, regenerate the report as new submissions come in, and hand the finished report to your team or clients by publishing the page. What used to take a manual export and a separate analytics tool now takes one prompt.
