Forms
A form collects structured data from people through fields. Every field you add becomes a column in a database; every submission becomes a row. Forms can include conditional logic, file uploads, calculated fields, scoring, multi-page flows, and payment collection. They can be shared via a public link, embedded on a website, or placed inside an app or portal — and everything submitted feeds directly into your data layer.
Custom apps
An app is a custom internal tool for your team — think of it as a project workspace only your team members can access. Apps can have multiple pages, each with its own mix of forms, data views (table, Kanban board, charts, gallery), and custom content like text, media, or embedded dashboards. You control which team members can see or edit each page. Apps are where your team reviews incoming submissions, manages tasks, tracks status, and runs internal workflows.
User portals
A portal is an app with a login for external users — clients, applicants, members, or anyone outside your organization. You control who can access it (open sign-up, or you add users yourself), which pages each user or role can see, and what they can do once inside. Each portal user gets a personalized view: their own submissions, forms they can fill in, and any content you've published for them — with no access to anyone else's data.
Customizable data views
Data views let you display and interact with your form data in different formats on any app or portal page: a table for spreadsheet-style management, a Kanban board for tracking stages and status, charts for analytics, or a gallery for visual records. Each view can be sorted, filtered, and configured independently.
Automations
Make your process self-driving — the form adapts as someone fills it in, actions fire automatically on submission, and any update can set the next step in motion:Field logic adapts the form experience in real time as someone fills it in — showing only relevant follow-up fields, for example, or skipping entire sections based on earlier answers.
On-submit & On-update logic fire at two different moments: on-submit when a new submission is created, on-update when any field in an existing submission changes. Depending on the trigger, you can send emails, assign tasks, generate PDFs, and control what happens downstream based on conditions you define — specific answers, field values, status changes, and so on. On-submit logic can also redirect respondents to a specific ending page, an external URL, or a checkout.
Automated emails let you attach a send-email action to almost any trigger: a new submission, a status change, a specific field being updated. Formaloo sends it automatically — to the submitter, a team member, or any address — with content that can include any data from the submission, personalized per response.
Auto-generated PDFs let you generate a contract, invoice, proposal, certificate, or any document type — automatically on each submission, or conditionally on a specific trigger. The PDF editor is HTML-based, which means the design is entirely yours to control. Generate the template with a tool like ChatGPT and paste it straight into the editor, then pipe any field from the submission into it — and every document that comes out is personalized and on-brand.
