Customizing forms and databases in your portal allows you to tailor data collection, organization, and presentation to suit your specific needs.

Whether you're modifying form fields, adjusting layouts, or selecting the best database view, Formaloo provides flexible customization options.

Before diving into database views, it's important to first edit the form structure and customize its fields to ensure the right data is collected. You can:

Step 1: Customize the form style in your portal

If your portal includes forms for users to submit, you can adjust their style to match your portal’s design and branding.

Once you have set up your form structure and fields, you can further customize its style to match your portal’s branding.

  1. Navigate to the form page within your portal.

  2. Click on Style Options in the top-right corner.

  3. Select either the Embed Option or Card Option to blend the form seamlessly with your portal.

  4. Customize the font, layout, colors, and button styles to match your branding.

By editing form fields first and then refining the design, you ensure a professional and user-friendly experience.

Step 2: Choose the right database view for your data

To efficiently manage and display data in your portal, Formaloo provides various database views.

Each view type allows you to organize and present data in a way that best fits your workflow.

Available database views:

  • Table view – A structured grid format to display and edit data like a spreadsheet.

  • Kanban view – A visual board for tracking tasks or workflows using columns.

  • Gallery view – A card-based layout ideal for showcasing images or profiles.

  • Charts view – Graphical representation of data to visualize trends and analytics.

Customize a Kanban board for workflow management

The Kanban view is useful for managing tasks, tickets, or workflows by organizing items into different stages.

  1. Navigate to your Kanban page in the portal.

  2. Click on Options in the top-right corner.

  3. Use the Filter option to display only relevant data.

  4. Drag and drop cards between columns to update statuses.

  5. Click on Edit Base to modify fields, rename columns, or adjust the data structure.

Kanban boards help streamline workflows by providing a visual representation of task progress and statuses.

Customize a table view for structured data management

The Table view is ideal for organizing and displaying structured data in a spreadsheet-like format.

  1. Navigate to the Table View page in your portal.

  2. Click on + New to add a new row of data.

  3. Click on any field to edit or enter new information directly.

  4. Use the Options menu to sort, filter, or modify displayed columns.

  5. Click on Edit Base to add or remove fields, rename columns, and customize the data structure.

The Table view is an efficient way to manage data entries, making it easy to track and update information in a structured manner.

Customize a gallery view for visual data display

The Gallery view is a card-based layout that’s great for displaying images, profiles, or project summaries.

  1. Navigate to the Gallery View page in your portal.

  2. Click on + New to add a new card.

  3. Click on any field within a card to edit the content.

  4. Use the Options menu to filter and customize the gallery layout.

  5. Click on Edit Base to modify data fields, adjust card formatting, or rearrange displayed information.

The Gallery view is perfect for showcasing images, user profiles, or visually rich content in an engaging format.

Customize a chart view for data visualization

The Chart view allows you to represent data graphically for better insights and trend analysis. Unlike other views, the Chart view only has an Options menu, without the ability to Add or Edit Base.

  1. Navigate to the Chart View page in your portal.

  2. Click on Options in the top-right corner.

  3. Toggle Show this base statistics (View, Responses) to display automatic view numbers or responses.

  4. If needed, toggle Display all fields of this base to include additional data fields in the chart.

  5. Under Select fields to show as chart, choose the data points you want to visualize.

  6. Set Charts per row to adjust the number of displayed charts.

  7. Your selected metrics will automatically update in the visual chart representation.

Charts provide an effective way to analyze trends, track performance, and present key insights in a visual format.
