How to create an order form with online payment

Add products and extras to your form, let Formaloo calculate the total automatically, and connect Stripe, PayPal, RazorPay or Square to send respondents straight to checkout on submission.

With Formaloo, you can build an order/pre-order form where respondents browse products, pick services, or select extras — and the form calculates the total price automatically.

Use that total as a price estimate or quote, or connect a payment method so respondents can complete their purchase right after submitting.

You connect your own payment gateway, and Formaloo takes nothing on top. Standard fees from your payment provider (such as Stripe or PayPal) still apply as usual.

Step 1: Start with your form

You can use any existing form, start from any 🎨 Formaloo template, or create a new form from scratch.

If you start from a template, the Product fields and price calculation may already be partially set up — just fine-tune anything you need to fit your use case, and connect your payment method.


Step 2: Add your products and extras to the form

Add Products

Add a Product field for each item you want to showcase. Each product card includes a name, description, images, unit price, and quantity controls. Respondents can browse the cards, set a quantity, and add items to their cart — all without leaving the form.

The form keeps a running total across all product fields automatically.

Add any extras, add-ons, or service tiers

You can go beyond Product fields and offer additional options using choice fields, checkboxes, dropdowns, or other fields.

For example, if you're selling a consulting service, you could add a single-choice field where respondents pick between a one-month and a three-month engagement. Or add a Multiple choice field to let customers select any add-ons relevant to your product, or pick wrapping or shipping method.

Unlike Product fields, the cost of these options isn't added to the total automatically — you'll need to set up logic rules for each option:

If option X is selected, add amount Y to Price variable.

Once set up, it feeds into the same running total as your product prices.

Step 3: Set up a payment method

Before you can accept payments, you'll need to connect a payment method to your workspace. Formaloo currently supports Stripe, PayPal, Razorpay, and Square.

To add one:

  1. Click your profile icon in the top right corner,

  2. Go to Apps & integrations,

  3. Open the Payments & e-commerce tab to see all supported payment providers,

  4. Find the provider you want to use and click Add new integration to connect it:

Once connected, the payment method will be available to select under Form with payment in your form settings.


Step 4: Enable payment on your form

Open your form in the editor and go to the form Settings panel on the right side.

Scroll down to the Form payment section and turn on the Form with payment toggle.

From here, you can:

  • Select your payment method:
    Choose the one you connected in the previous step.

  • Set the currency:
    This applies to all price amounts on the form and gets passed to the checkout as well.

  • Set a fixed payment amount:
    If you're not using product fields and just want to charge a flat fee on every submission (for a donation, event registration fee, application fee, and so on), you can enter a fixed amount here instead of using the Price variable.


How the total price is calculated?

Formaloo automatically creates a Price variable for your form – you don't set it up manually. It's a system variable, so it's view-only; you can't edit it directly.

It's created automatically in either of these situations:

  • When you add a Product field to the form,

  • When you enable Form with payment and connect a valid payment method.

Every time a respondent adds a product and sets a quantity via a Product field, the amount (unit price × quantity) is added to the Price variable automatically. Selections across multiple product fields all roll up into the same total.

For any extras people can select in additional fields on your form, you need to set up simple advanced logic rules which add the corresponding amounts to Price whenever an option is selected (more on that in Step 2).

You can reference the total anywhere in the form using $@price — for example, on an ending page or in a confirmation email — to show respondents their total before they submit.

ℹ️ The currency is set in the Form payment section of your form Settings. Whatever you select applies to all price amounts on the form and is passed to the checkout.


What happens when the form is submitted?

Once a respondent submits the form, they're redirected straight to the checkout page.

The total from the Price variable is passed to the checkout automatically, so they can complete their payment without re-entering anything.

ℹ️ When Form with payment is enabled, the form's ending pages are bypassed entirely.

Every respondent who submits is sent to checkout — there's no way to show an ending page to some respondents and redirect others to checkout within the same form. If you need both flows, see below ⬇️


Is it possible to send some respondents to checkout and show others an ending page?

Not within a single form. If payment is enabled, all respondents are sent to checkout on submission — no exceptions, no conditions.

If you need both flows, a two-form setup can get you there:

Form 1
Payment is not enabled. Respondents fill in the form and either land on a regular ending page, or — based on conditions you define — the form auto-submits and redirects them to Form 2.

  1. A field-level Submit rule:

    IF option X is selected, THEN Submit

  2. An On Submit redirect rule:

    IF option X was selected, THEN Redirect to URL of Form 2

Form 2

Payment is enabled. Respondents who arrive here complete their details and are sent to checkout on submission.

Respondents who don't need to pay — stay in Form 1 and see the ending page as normal. Those who do — get routed to Form 2 and through to checkout.

ℹ️ All product selections, add-ons, and pricing options can either live entirely in Form 2, or you can pass data collected in Form 1 across to Form 2 using a redirect with data transfer. Make sure to test the full flow once it's set up.


How to track and manage incoming orders?

Once orders start coming in, you can manage them directly in Formaloo.

The simplest approach is to add an admin-only Single choice field to your form with custom statuses adapted to your use case. For example:

  • New, In progress, Shipped, Delivered if you're selling products or services,

  • Pending, Access granted if you're selling memberships

This field is only visible to you and your team, not to respondents. From your dashboard, you can view all submissions in a Kanban board organized by status, so you can see at a glance what's been ordered, what's being fulfilled, and what's done.
